
Speedchart Glossary of Terms
The following definitions relate to speedcharts Additional detail on the Account Fund Profile (AFP) and Fund Accounting is available on the AP Website.
Fund: A fund is an accounting entity with a self-balancing set of accounts consisting of assets, liabilities, revenues, expenditures and unexpended balance that constitutes the fund balance. It can also be thought of as a discrete monetary source that identifies a specific project, program or group of activities that require financial tracking by source. Speedcharts assist in tracking expenditures against Funds.
Fund Years (FYR): Sponsored funds are Federal and Private Grants that may have multiple year awards. A speedchart may be set up with fund years so that invoices dated within a fund year cycle will be charged to that fund year.
Department Account or DPA: The DPA is a six (6) digit filed used to record financial transactions by function for departments or major activities within departments. A speedchart references at least the Fund/DPA combination.
No cost Extension: An extension on the dates of the funds when an award’s end date has changed without any additional funding.
Program code: Tracks monies used for a specific purpose is optional for departmental use.
Activate: A request to open or “set up” a speedchart.
Inactivate: A request to stop any additional activity either to an entire speedchart or to a specific fund year. Inactivation prevents additional charges from being processed against a speedchart or fund year.
Reactivate: A request to activate a previously inactivated speedchart.
Speedchart: A Speedchart is a five character “shorthand” number
linked to a unique set of Chartfield combinations, minimally the Fund and DPA (Fund Year and/or Program Code, if applicable), to ensure that expenses are properly charged to Departments. When properly set up and maintained, speedcharts ensure correct accounting and reporting of expenditures.
Purchases ordered and invoices paid with a particular speedchart number will be processed in accordance with the unique combination of chart fields associated with the Speedchart number. Additionally, some internal UCSF providers use the Speedchart for recharge purposes.
Speedchart Effective Date: This is the date that the speedchart is set up, or changed in the PeopleSoft system. The effective date is system generated and can not be changed, edited, past dated or post dated. Orders placed prior to the effective date of a speedchart can not be processed using a Speedchart PO. Such invoices may be processed with complete Chartfield information, however. Speedchart Effective Dates should not be confused with Fund Year Begin Dates. Fund Year Begin Dates and Speedchart Effective Date are independent of one another.
